Full Pricing, Quotation & Contracting Policy
1. Commercial Philosophy
YTS-Agents believes in value-based, transparent, and bespoke pricing.
Because every client’s automation environment is unique, all financial engagements are custom-engineered.
We do not provide fixed price lists or “menu” pricing.
Each quotation, proposal, and contract is built on measurable business value, expected ROI, and verified technical feasibility.
2. Pre-Sales and Engagement Workflow Overview

No technical work or scheduling starts until all documents in Stage 4 are duly signed by both parties.
3. Request for Quotation (RFQ) Form
3.1 Purpose
The RFQ is the mandatory first step before any quotation or proposal is produced. It ensures YTS-Agents receives precise and structured input directly from the client.
3.2 Access

3.3 Information Collected
- Corporate name, address, and contact details
- Department(s) targeted for automation
- Description of current workflows and pain points
- Existing software, tools, and data sources
- Estimated budget range and expected ROI
- Desired completion timeframe
- Preferred communication language (EN / FR / TR)
- Data-handling consents (GDPR / KVKK)
3.4 Processing
All RFQs are acknowledged automatically. A business consultant reviews the request within two (2) business days and may schedule a Discovery Call to refine scope before quotation drafting.
All submitted information remains confidential and securely stored in accordance with our Privacy Policy.
4. Quotation Preparation & Content
4.1 Definition
A Quotation is a non-binding commercial summary prepared by YTS-Agents after RFQ analysis.
It outlines scope, preliminary deliverables, indicative budget, and assumptions.
4.2 Contents
- Client identification and reference number
- Project title and summary of objectives
- Proposed deliverables and functional domains
- Estimated project duration and milestones
- Indicative cost or range (exclusive of VAT)
- Assumptions, exclusions, and dependencies
- Validity period (30 days)
- Reference to this Policy and to the forthcoming Financial Proposal
4.3 Acceptance
Client acceptance (by email or signature) signifies intention to proceed, but not yet contractual commitment.
Upon acceptance, YTS-Agents prepares the Financial Proposal.
5. Financial Proposal
5.1 Definition
The Financial Proposal is a binding commercial offer prepared only after quotation approval.
It converts indicative pricing into an exact financial plan linked to deliverables and timeline.
5.2 Components
- Cost Breakdown – detailed labor hours, AI-tool licenses, third-party integrations.
- Milestone Payment Schedule – typically 40 % / 30 % / 30 % linked to delivery stages.
- Currency & Tax Details – Euro (€) or Turkish Lira (₺); VAT applied as per jurisdiction.
- Assumptions & Exclusions – list of parameters defining the offer’s boundaries.
- Timeline & Resource Plan – estimated duration, roles, and delivery sequence.
- Validity Period – thirty (30) calendar days from issuance.
- Signature Blocks – for client and YTS-Agents authorized representatives.
5.3 Legal Status
Once signed, the Financial Proposal becomes commercially binding and forms the basis for the contractual package (MSA + SOW).
6. Master Services Agreement (MSA)
6.1 Nature
The MSA governs the overall legal relationship between YTS-Agents and the client.
It defines intellectual-property ownership, confidentiality, liability, dispute resolution, and governing law.

7. Statement of Work (SOW)
7.1 Purpose
The SOW translates the Financial Proposal into tangible deliverables, KPIs, acceptance criteria, and timelines.
It is attached as Annex B to the MSA.
7.2 Content Overview
- Detailed deliverables per department (Sales, Marketing, Finance, HR, Support, etc.)
- Workflow diagrams and automation architecture
- Acceptance test criteria and metrics
- Reporting frequency and escalation path
- Client responsibilities and required resources
- Linked payment milestones from the Financial Proposal
7.3 Execution
Signed by both parties; each receives an identical copy in PDF.
8. Project Plan / Project Charter
8.1 Objective
Defines operational governance once contracts are executed.
Acts as the execution manual for both teams.

8.3 Legal Status
Once signed, the Project Charter has binding operational force and completes the contractual triad (MSA + SOW + Charter).
9. Signatures & Contract Execution
9.1 Order of Execution
- Quotation → accepted by client (intent)
- Financial Proposal → signed (binding commercial terms)
- MSA + SOW + Project Charter → dual signature (legal contract)
9.2 Signature Methods
- Electronic signature via DocuSign or equivalent eIDAS compliant service
- Scanned handwritten signatures accepted if PDF exchanged via verified emails
9.3 Archiving
All executed documents stored securely for five (5) years with dual access (Client + YTS-Agents).
10. Payment & Invoicing Rules

11. Confidentiality & Data Protection
All financial, technical, and personal information exchanged during RFQ, quotation, and contracting is confidential.
Processing complies with GDPR (UE 2016/679) and KVKK (Law No. 6698).
Data is encrypted in transit and at rest; access restricted to authorized staff.
YTS-Agents will sign or provide an NDA upon request.
12. Modifications & Change Requests
After contract signature:
- Any alteration in scope, timeline, or cost must be documented via a Change Request Form (Annex D).
- The form specifies new tasks, impact on budget and delivery, and requires client sign-off.
- Approved changes result in an Addendum to the SOW and a Revised Financial Proposal if applicable.
